Tax Form 8879 Automation
CUSTOMER
A U.S.-based tax advisory firm serving individual and business tax clients. The firm manages tax engagements through Airtable, uses Dropbox Sign for electronic signatures, and stores client documents in Dropbox.
CHALLENGE
The firm was handling Form 8879, the IRS e-file authorization, through a largely manual process.
The tax team needed to:
- Identify when a return was ready for Form 8879.
- Send the form to the correct client through Dropbox Sign.
- Handle individual and joint taxpayers with multiple signers.
- Add signature and date fields across multiple pages of the form.
- Track when the 8879 was sent.
- Monitor when clients completed the signature.
- Download completed forms manually.
- Rename files according to internal naming requirements.
- Place signed forms into the correct tax-year Dropbox folder.
- Update Airtable after sending and after receiving the signed form.
- Follow up with clients who had not signed the form.
During tax season, these repetitive administrative tasks created additional workload for the tax team and increased the risk of delayed e-file authorization.
COGNIC’S SOLUTION
Cognic Systems designed an automated Form 8879 workflow using Make.com as the orchestration layer between Airtable, Dropbox Sign, and Dropbox.
1. Airtable Trigger
When the tax team changes the Airtable status to “Ready to Send 8879”, the automation waits five minutes and then begins processing.
2. Automated Dropbox Sign Request
The automation retrieves the client information from Airtable and prepares the Dropbox Sign request. The workflow supports individual taxpayers, married taxpayers with two signers, client names and email addresses from Airtable, tax-year-specific subject lines, standardized client communication, and signature and date fields required for the 8879. The Dropbox Sign request follows the firm’s approved communication format.
3. Automated Status Tracking
Once the 8879 is successfully sent, the Airtable status changes to “8879 Sent”, the send date is recorded, the Dropbox Sign request ID is stored for tracking, and a copy of the notification is received.
4. Signature Completion
The automation monitors Dropbox Sign for completion. Once all required signatures are completed, the signed 8879 is retrieved, the workflow identifies the tax year, the correct Dropbox destination is determined, and the completed document is renamed according to the firm’s naming convention.
5. Automated Dropbox Filing
Completed forms are routed to the appropriate tax-year folder (e.g., Vineyard Advisors → 025 – Admin → Tax → Forms 8879 – Signed → [Tax Year] Signed Forms 8879). This removes the need for staff to manually download and move completed forms.
6. Airtable Completion Update
After the signed document is successfully stored, the Airtable status changes to “8879 Signed, Ready to Send Invoice”, the signed date is recorded, and the Dropbox document link is added to the client record.
7. Automated Client Reminders
If the client has not completed the 8879, the automation sends a reminder every 48 hours. The reminder cycle stops once the form is completed.
8. Exception Handling
The workflow accounts for situations such as declined signature requests, incomplete signatures, missing client information, failed document transfers, and automation errors. These conditions are routed for administrative attention rather than silently progressing the client record.
