CUSTOMER

A growing U.S.-based sales organization manages recruitment across multiple markets and supports large field-sales programs for major telecom and consumer brands.

The organization was preparing for rapid expansion and needed to recruit sales representatives at a much higher volume. Its existing recruitment process relied heavily on manual work, limiting how quickly the team could identify, contact, and onboard candidates.

CHALLENGE

The recruitment team was using ZipRecruiter Premium as the primary candidate sourcing platform.

The existing process required team members to log into ZipRecruiter and review candidates manually, open resumes and identify relevant sales experience, search for candidate phone numbers, send pre-screening questions through text messages, track candidate progress in Google Sheets, coordinate interviews, manage scheduling/reminders, and coordinate background checks, drug testing, and onboarding.

The biggest challenges were high manual effort during candidate review, slow candidate outreach, back-and-forth interview scheduling, candidates becoming difficult to engage, limited capacity during large campaigns, difficulty finding candidates with specific outside-sales experience, and opportunity loss when qualified candidates were not contacted quickly.

COGNIC’S SOLUTION

Cognic designed an AI-powered recruitment automation approach to automate the candidate journey from sourcing through onboarding.

The solution combines RPA, AI, SMS automation, voice AI, scheduling integrations, and workflow automation, integrating seamlessly with the organization’s existing recruitment workflows.

Automated Candidate Sourcing

The automation connects with the organization’s ZipRecruiter environment through a dedicated automation user. The system reviews incoming applications, applies filters, evaluates resumes to identify relevant experience (outside sales, door-to-door sales, B2B sales, event marketing, experiential marketing, telecom sales), matches profiles against qualifications, assigns a confidence score, and uses Invite to Apply for suitable candidates. Sourced candidates are recorded in the central tracking system while preventing duplicates.

AI Candidate Engagement

After identifying a suitable candidate, the system initiates automated communication. Text messaging is used as the primary channel because of stronger candidate response rates. The AI communication flow handles initial candidate outreach, job introductions, pre-screening questions, candidate responses, basic clarification questions, follow-up messages for non-responsive candidates, and updates the central candidate records.

AI Voice Engagement

A voice AI layer is introduced to improve candidate engagement. Candidates who require additional outreach receive automated phone calls from an AI voice agent designed to introduce the opportunity, explain the next steps, engage in natural conversation, answer approved job-related questions, capture candidate interest, record transcripts, and route qualified candidates to the next stage.

Interview Scheduling

The workflow supports automated interview coordination. Once a candidate reaches the interview stage, the system provides available interview slots, candidate selects their preferred time, and the selected appointment is recorded. It sends automated reminders, manages rescheduling rules, and tracks no-show/cancellation outcomes, reducing manual back-and-forth.

Candidate Tracking

A centralized candidate record provides visibility across the recruitment process, tracking stages from candidate sourced, reviewed, contacted, pre-screen pending/completed, interview scheduled/completed, background check, drug test, offer, onboarding, to hired.

Background Check and Onboarding Workflow

After the interview and hiring decision, the workflow supports the next steps by connecting with document and e-signature tools like Zoho Sign. The process handles sending required documents, tracking completion, sending reminders for pending documents, and moving candidates to the appropriate onboarding stage.
