A global health and wellness organization operating through a partner-driven business model wanted to improve how new prospects, customers, and partners engage with the organization.

The organization had strong product content, expert-led educational material, training videos, marketing resources, and an established partner network. However, the existing process relied heavily on manual communication and required new partners to navigate multiple resources independently.

The organization engaged Cognic Systems to design a technology-enabled event marketing and onboarding framework.

CHALLENGE

The organization faced several operational challenges:

  • New partners received a large amount of information during the early stages of their journey.
  • Training resources were distributed across different videos, documents, websites, and internal systems.
  • New partners often needed personal assistance to understand where to start and what to do next.
  • Event promotion relied heavily on individual partner efforts.
  • Lead registration, event participation, follow-up, and conversion required manual coordination.
  • Existing marketing content was available, but there was no unified campaign structure for distributing it.
  • There was limited visibility into the progress of prospects after an event.
  • Customer and partner onboarding lacked a consistent, measurable journey.
  • Mentors and experienced partners spent significant time answering repetitive questions.
  • The organization wanted to improve retention, time to first order, and duplication of successful partner behavior.

PROJECT OBJECTIVE

Cognic designed a centralized event marketing and onboarding ecosystem with four primary objectives:

  1. Generate and manage qualified leads for educational and business opportunity events.
  2. Automate communication before and after events.
  3. Simplify the onboarding experience for new customers and partners.
  4. Provide measurable visibility into engagement, conversion, onboarding progress, and retention.

COGNIC’S SOLUTION

Cognic proposed a centralized CRM and automation architecture using GoHighLevel as the primary engagement and automation platform. The solution connects marketing activities, event registration, communication, CRM tracking, onboarding resources, and reporting into one structured journey.

1. Event Marketing Funnel

Cognic designed a repeatable event funnel covering the complete prospect journey: social media promotion, event landing page, registration form, lead capture, audience segmentation, confirmation communication, reminders, Zoom participation, post-event follow-up, replay distribution, customer/partner conversion, and onboarding initiation. The funnel supports recurring events rather than functioning as a one-time campaign.

2. Lead Management

Each prospect is captured inside the CRM and categorized based on interest and engagement. Example segments include health and wellness enthusiasts, beauty/personal care buyers, eco-conscious consumers, entrepreneurially minded individuals, existing customers, and prospective partners. The CRM provides a centralized view of each prospect and their current stage.

3. Automated Event Communication

Automated workflows reduce manual communication requirements, managing the complete communication journey including registration confirmations, reminders, event-day info, thank-you messages, replay notifications, business opportunity follow-ups, and partner onboarding invitations.

4. Multi-Channel Marketing

The marketing framework supports coordinated communication across Facebook, Instagram, LinkedIn, YouTube, Email, SMS, and WhatsApp. Cognic also developed reusable marketing assets such as event graphics, social media posts, reels, promo videos, speaker bios, and email templates, allowing individual partners to promote events using approved content.

5. Expert-Led Event Experience

The event workflow is structured around an expert-led presentation, including speaker biography preparation, intro script, presentation coordination, Zoom config, technical rehearsals, audience engagement, Q&A, cloud recording, and replay distribution. The recorded presentation becomes a reusable marketing and onboarding asset.

6. Partner Onboarding System

Cognic designed a structured onboarding journey to replace information-heavy onboarding with practical, sequential guidance. The onboarding framework includes welcome communication, a Getting Started checklist, back-office orientation, product/business education, registration processes, auto-order setup, marketing resource access, training videos, FAQs, mentor support, and progress reminders.

7. Automated Progress Tracking

The onboarding workflow tracks key milestones such as registration completed, welcome material viewed, back-office orientation completed, first customer registered, first order completed, training completed, first partner identified, and mentor follow-up completed. Automated reminders trigger when required steps remain incomplete.

8. Mentor Support

The system supports the existing mentor structure. When a new partner becomes inactive or misses a milestone, the system creates a follow-up task for the assigned mentor. This creates a combination of automated guidance, human mentorship, progress tracking, and escalation.

TECHNOLOGY ARCHITECTURE

The architecture uses GoHighLevel as the central engagement layer. AI ENABLEMENT

AI is incorporated to reduce repetitive work and improve user experience. Potential use cases include AI-assisted lead qualification, automated responses to common prospect questions, content repurposing from presentations, creation of social media content from approved source material, short-form video scripting, and onboarding/training assistants.

MARKETING CONTENT REPURPOSING

An important part of the solution was converting existing expert content into multiple marketing assets (full event recordings, YouTube videos, short clips, reels, social/educational posts, email content, and onboarding lessons). This creates a reusable content engine instead of requiring new content for every campaign.

The project establishes a scalable framework connecting event marketing, lead management, conversion, customer onboarding, partner onboarding, mentorship, and performance tracking. Cognic structured them as connected stages of one customer and partner journey, giving the organization a reusable system for future campaigns, customer acquisition, and partner growth.
