A commercial real estate brokerage firm in Massachusetts with a long-established owner and property database, Salesforce-based CRM, and multiple property data platforms.
The firm wanted to expand its reach to commercial property owners across Massachusetts while reducing the manual research and outreach work performed by brokers and interns.
CHALLENGE
The brokerage had a large existing database, but reaching the broader commercial property owner market required significant manual effort.
The main challenges were:
- Identifying commercial properties across Massachusetts.
- Connecting each property to the correct ownership entity.
- Resolving LLCs and other legal entities to the underlying individuals or decision-makers.
- Finding business email addresses and phone numbers.
- Validating contact information before outreach.
- Handling outdated or conflicting data from different sources.

The existing process relied heavily on brokers, interns, and multiple data platforms. This created a slow lead-generation cycle and limited the number of owners the brokerage could reach.
OBJECTIVE
The objective was to establish an automated owner intelligence and outreach workflow capable of turning property data into CRM-ready, validated commercial owner leads.
The proposed workflow would support two distinct capabilities:
- Property and owner intelligence
- Personalized owner outreach
The first capability focuses on building reliable lead data. The second uses this data to support targeted outreach.
COGNIC’S SOLUTION
Cognic designed an AI-assisted lead intelligence workflow around the brokerage’s existing systems and data sources.
1. Property Discovery
The workflow starts with commercial property data from approved sources such as CoStar, Reonomy, MLS, Public property and tax records, existing brokerage databases, and client-provided property lists. Properties are collected according to defined criteria like geography, property type, unit count, property size, ownership type, and existing CRM status.
2. Ownership Resolution
The system associates each property with its ownership entity (e.g., Property → 136 Newbury Street → 136 Newbury Street LLC). The workflow then attempts to resolve the legal entity to the relevant individual or decision-maker using available ownership information, public records, company information, and enrichment sources. This is especially important for commercial properties held through LLCs.
3. Contact Enrichment
Once an owner or decision-maker is identified, the workflow enriches the record with available: first and last name, company, business email, phone number, mobile number, mailing address, company website, LinkedIn or other professional profile information.
4. Data Validation
The system evaluates the collected information before the record enters the outreach workflow. Validation checks include email validity, contact-to-company matching, company-to-property matching, current employment or ownership indicators, duplicate detection, conflicting information, and outdated contact information. Records with insufficient confidence are flagged for review instead of being treated as verified leads.
5. CRM Readiness
Validated records are prepared for integration with the brokerage’s Salesforce/Rethink environment. The intended structure connects: Property → Ownership Entity → Contact → CRM Record. The workflow also checks existing records to reduce unnecessary duplication.
6. Personalized Outreach Preparation
Once qualified leads are available, the system prepares outreach based on the property and owner information. For example, instead of a generic message, the workflow could generate a message referencing the specific property, location, relevant market activity, buyer requirements, previous brokerage activity in the area, or a reason for contacting the owner. The goal is to support relationship-driven commercial real estate outreach rather than generic mass email.
7. Human Review
Because the brokerage operates in a relationship-driven market, outreach does not need to be fully autonomous. The workflow supports a review stage where brokers can review generated messages before sending. This provides a balance between automation and broker control.
8. Outreach and Follow-Up
Approved communications can be sent through the selected email and CRM infrastructure. The workflow can support initial and follow-up emails, follow-up tasks, phone follow-up, response tracking, lead status updates, broker assignment, and escalation. When a prospect shows buying or selling intent, the automation routes the opportunity to the appropriate broker.
